What should I do if I received an order?

The moment an order enters your Seller Center, you are given up to 24 hours only to (1) process the order, (2) pack the item, and (3) hand it over to our courier.

You will receive an email notification via your Lazada-registered email when a new order is received. If you have the Seller Center mobile app, you will also receive an app notification.

To avoid order cancellations and eventual deactivation of shop, please follow this 24-hour deadline.

Guide on how to prepare and fulfill orders

Here is a comprehensive guide on how to prepare and fulfill an order.

Step 1. Print the stock checklist

To know which item is to be processed, you can use the stock checklist on Seller Center.

  1. On Seller Center, go to Orders & Reviews > Orders > Pending.

  2. Select the orders to be processed by clicking the check boxes beside the order numbers.

  3. After selecting the orders, click the “Print Stock Checklist For Selected Items” from the print option.

Step 2. Pick the items specified in the stock checklist

Get the items from your inventory and conduct a quality check to ensure that the items is working and in good condition.

Step 3. Prepare your sales invoice

Merchants should issue a sales invoice per order in compliance with local laws. You can check this article for more information on why seller should issue a sales invoice.

Step 4. Pack the items properly

Pack the items according to Lazada's packaging guidelines. Following the provided packaging guidelines will protect your item from any damage during transit.

Place the sales invoice inside the parcel before you seal it.

A single order with multiple items might have different tracking numbers. Orders that generated two different tracking numbers should be packed separately to avoid order cancellations. One tracking number, one package.

Step 5. Attach the shipping label (airway bill) to the package

Reminder: The item in the sales invoice, in the shipping label, and the actual items inside the package should match.

  • If you are using a box, use a document sleeve and stick it on top or on the largest side of the box.

  • If you are using a sticker label, stick it over the clear sleeve (for pouches) or on the largest side of the box (for boxes). If you are using a regular bond paper, place the air waybill properly inside the document sleeve and make sure all bar codes are visible.

  • Do not forget to close or seal the document sleeve!

  • DO NOT tamper or cover any part of the shipping label to hide price and/or item information as this is prohibited. Our couriers may reject parcels with tampered labels. (HUWAG takpan ang kahit anong parte ng shipping label dahil ipinagbabawal ito. Maaaring hindi tanggapin ng mga couriers ang packages na mayroong tampered shipping labels.)

Step 6. Set the order status to “Ready to Ship” (or RTS)

How to set the order status to Ready to Ship?

  1. On Seller Center, go to Orders & Reviews > Orders > Pending.

  2. Select the orders that are already packed

  3. After selecting the orders, click the “Ready to Ship” from the “Set Status” option

  4. OR simply click the “Ready to Ship” button under the action column if you want to validate the orders manually

Step 7. Hand over the parcels to the couriers assigned to your pickup or drop your parcels to our drop off stations.

Take note of the following:

  1. Count the parcels that you need to handover

  2. Ensure successful scanning of parcel before handing it over

  3. Ensure that total number of scanned parcels is equal to the number of parcels recorded in the driver’s scanning device and to the number of actual parcels handed over

  4. Sign the mobile scanning device
